- You oversee and coordinate the full administrative lifecycle of PhD students, from admission to graduation.
- You handle incoming administrative queries from students and supervisors and provide timely support.
- You support teaching and exam administration
- You update and manage data documentation
- You contribute to updating the department website and information materials
- You work closely with the second administrative support member to ensure smooth workflows
- You maintain close communication with campus partners, university offices, HR, and other administrative units
- Additional responsibilities can be added depending on your interests and skill set

Dein persönlicher Wirkungsbereich:
- Du betreust und koordinierst den gesamten administrativen Lebenszyklus von PhD-Studierenden – von der Zulassung bis zum Abschluss.
- Du bearbeitest eingehende administrative Anfragen von Studierenden und Betreuer*innen und leistest zeitnahe Unterstützung.
- Du unterstützt die Lehr- und Prüfungsadministration.
- Du aktualisierst und pflegst die Daten- und Dokumentationssysteme.
- Du wirkst an der Aktualisierung der Institutswebsite sowie von Informationsmaterialien mit.
- Du arbeitest eng mit der zweiten administrativen Unterstützung zusammen, um reibungslose Arbeitsabläufe sicherzustellen.
- Du stehst in engem Austausch mit Campus-Partnern, Universitätsabteilungen, der Personalabteilung sowie weiteren administrativen Einheiten.
- Zusätzliche Aufgaben können je nach Interesse und Qualifikation übernommen werden.

About this position:
- Involvement in and finalizing of a research project as detailed in your doctoral thesis agreement
- Publications and presentations
- Involvement in project applications for third-party funding
- Teaching of courses as defined by the collective agreement
- Supervision of trainees and students
- Meeting and consulting with your supervisor(s) on a regular basis in order to prioritize your tasks and get the necessary support to complete your dissertation successfully in time.
- Actively seeking support (workshops, training, coaching etc.) if necessary
- We expect you to make significant progress on your doctoral thesis through related milestones during the time of the short-term contract.
